Front Desk Administrative Clerk

Definition:

Seeking a detail oriented, well-organized individual to perform a variety of clerical & record keeping duties to support the Section 8 department in completing reexams, interims, and other job-related requests by specified deadlines.

 

Essential Functions:

  1. In a professional and courteous manner correspond with section 8 program participants face to face, via telephone, email, and mailed letters.
  2. After training, be familiar with and adhere to Housing and Urban Development (HUD) & Colorado Springs Housing Authority (CSHA) policies and procedures.
  3. Effectively communicate with program participants the policies and procedures of the Section 8 program to obtain proper documentation for reexams, interims, and any additional voucher related processes.
  4. Send recertification letters to program participants according to specified guidelines and deadlines.
  5. Establish and maintain electronic files and data to ensure participants’ records are incompliance with HUD and CSHA policies.
  6. Receive requested documentation and forms to then accurately and correctly upload them to the in-house software (HAB/MRI/FileVision).
  7. Follow through on all pending documentation to maintain participants program eligibility.

 

Qualifications:

Knowledge of:

  • Modern office procedures, methods and equipment including computers, scanners, fax machines and Microsoft Office Suite.
  • Principles and practices of accurate records management.
  • English usage, spelling, grammar, and punctuation.
  • Principles of business letter writing and basic report preparation.
  • Safety awareness and emergency protocols.
  • Understand and adhere to HUD policies and procedures and incorporate them with the PHA Administrative Plan and/or Admissions and Continued Occupancy Policy, as well as other organizational policies and procedures.

 

   Ability to:

  • Be dependable and on time for shift Monday-Friday.
  • Type and enter data at a speed necessary for successful job completion.
  • Organize, schedule, and execute assignments independently.
  • Communicate clearly and concisely, both orally and in writing; ability to effectively interact with a diverse tenant and landlord population.
  • Establish and maintain effective working relationships with those contacted in the course of work, including Housing Authority officials and the public.
  • Maintain physical condition appropriate to the performance of assigned duties and responsibilities.
  • Learn the Section 8 reexam, interim, and notice board processes to maintain program participant eligibility.

 

Minium Qualifications:

  • Must be able to pass a drug test and a thorough background check.
  • Must have a high school diploma or equivalent.
  • One year of customer service experience.
  • One year of clerical support experience.
  • Must have the willingness to learn the tasks/responsibilities of the position and complete tasks as assigned.
  • Must have the ability to meet deadlines.
  • Must have good organizational skills.
  • Must pay close attention to detail.
  • Must be willing to be a team player and contribute to a positive work culture.
  • Must have the ability to adapt to change and be flexible.

Preferred Experience

  • Ability to speak Spanish.

 

Working Conditions 

Environmental:

Office environments; exposure to computer screens, keyboards

Physical:

Essential and marginal functions may require maintaining physical condition necessary for sitting, standing, and walking and bending for extended periods of time.

 

Must be able to pass a drug screening

 

Placement: Contract to Direct
