DOCUMENT CONTROL SPECIALIST

A professional service contractor that works directly with government agencies and civil engineering firms, seeks a qualified Document Control Specialist for immediate employment.

 

This role requires someone who is self-motivated and can work independently or with a team, balance and prioritize multiple projects, develop clear written procedures and processes, gather and organize information and content, and edit and update existing documents. An ability to evaluate and analyze complex information, and to reprioritize tasks quickly is essential.

 

Responsibilities:

  • Project-related documentation
    • Maintain (and implement) appropriate document control system for projects
    • Maintain digital and paper filing systems
    • Create and update tracking spreadsheets and send status reports to clients
  • Quality control
    • Review all written communications for grammar, spelling, and context
    • Perform quality assurance audits of documents and project files
  • Internal administration
    • Answer incoming calls and transfer to appropriate parties
    • Maintain supplies by checking stock to determine inventory level
    • Process and distribute incoming mail; prepare outgoing mail
    • Scanning and filing assistance; retrieve information as requested
  • Place orders for and review real estate title documents
  • Research government websites, County assessor databases
  • Interface with project staff as well as office support staff
  • Handle sensitive information in a confidential manner
  • Perform other duties as needed

 

Experience/Skills:

  • Prior document control or administrative experience preferred
  • Bachelor’s degree preferred
  • Strong expertise in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams)
  • Understanding of SharePoint sites; proficiency is a plus
  • Track record of successfully meeting deadlines and project expectations
  • Ability to balance multiple projects at a time
  • Understanding of real estate terms, real property titles, appraisal, environmental reviews, civil survey is a plus

 

The candidate must be punctual, organized, and have strong attention to detail. 

Specific, on-the-job training will be provided.

 

Placement Type: Direct

Schedule: Monday through Friday – 8am to 5pm

Salary: $55,000 per year 

Location: Located near I-25 and Woodmen Rd
