Full Charge Bookkeeper

Job Summary:

To maintain the fiscal care of the organization in the day-to-day business under the direction of the executive director, to communicate with the special projects financial position and the executive director, to provide Full Charge Bookkeeping duties.

DUTIES & RESPONSABILITIES

Record Keeping and Reporting

  • QuickBooks Online knowledge and skills
  • Timesheets and documentation
  • Employee reimbursements and source documentation according to the rules of the funding source and/or contract
  • Monthly and to-date budgets and reporting by source, class, project, etc. as requested and as scheduled according to contracts and funding source
  • Work with Executive Director to develop budgets for grant applications and for the overall operations of the organization, Annual Operating Budget
  • Developing, upholding and implementing tracking systems for participant payments and services
  • Work with auditors regular and other as requested or needed
  • Prepare payables
  • Prepare deposits
  • Bank, and credit card reconciliation and balance sheets
  • etty cash
  • Monthly to-date budgets, Statement of Functional Expense
  • Payroll every two weeks
  • Employer taxes for organization and for payroll
  • Prepare drawdowns by running expenditure reports
  • Maintain historical records
  • Work with Executive Director on internal controls
  • Oversee all accounts, ledgers and reports
  • Assure Compliance with GANS
  • Generate balance sheets
  • Manage monthly and quarterly payment requests and reimbursements, and pledges
  • Manage, assure, and organize source documentation for all records
  • Assist executive director in managing cash flow
  • Close out books annually
  • Manage the production and tracking of checks and electronic payments for payables

General Duties

  • Initiate daily communication with direct supervisor
  • Maintain regular communication with all staff and relevant parties
  • Maintain computer programs and software, and cell phone apps (Zoom, Google Suites, app- based phone) as main means of communication
  • Maintain the cleanliness and welcoming atmosphere of office space

 

REQUIREMENTS

  • Must have Quickbooks Online expertise
  • Must have relevant financial education or verifiable experience in lieu of education
  • Must have experience serving, engaging, and partnering with vulnerable populations, and historically marginalized people
  • Must have experience in grants management and non-profit bookkeeping
  • Must have a combination of work and life experience in intersectional areas which include our lesbian and gay and transgender siblings/selves, and BIPOC (Black, Indigenous, People of Color), all immigration status’, Neuro-divergent people, disabilities and socioeconomic statuses

  • Must have reliable transportation, and work approval in the USA

Placement Type: Temporary approximately 2 months with the possibility to extend

Schedule:  20 hours a week

Pay: $23.00 to $25.00 depending on experience
