This Administrative Technician role is a front desk position that requires providing high profile executive level support. Expert level Microsoft Outlook calendaring skills are essential. This position is also responsible for regularly arranging and physically setting up catering for large groups. Basic accounting skills required. Additional job information is included below:


This essential customer service position is responsible for attending to the front desk of the City Council Offices in City Hall. In this position, you will perform a variety of highly complex administrative duties in support of City Council Members, Council Staff, Executive Staff, community partners, and citizens.


Essential Job Functions ­ the basic job duties an employee must be able to perform:

  • Maintain calendars for Councilmembers and Council staff, including scheduling appointments, organizing meetings, and coordinating with executive staff and community partners
  • Welcome guests to City Council office; answer all incoming phone calls
  • Manage the reservations for City Hall public spaces and coordinate regularly scheduled lunches, receptions and events, including hands-on set up of catering and room arrangements
  • Provide complex support to City Councilmembers and Council Staff, including preparing travel arrangements, maintaining expense accounts, and drafting correspondence 
  • Support the administrative functions of the City Council office, including scheduling of invocations and presenters for City Council meetings


We are looking for candidates who demonstrate:

  • Expert knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook)
  • Ability to maintain confidentiality and use good personal judgment and discretion
  • Knowledge of proper English usage, spelling, punctuation, and grammar
  • Ability to communicate clearly and concisely, orally and in writing
  • Ability to establish and maintain effective working relationships with elected officials, executive staff, and community partners


Successful candidate will have

  • High school diploma or GED supplemented by additional specialized training in secretarial sciences, accounting, or other related field
  • Three years of full-time administrative support and/or clerical accounting experience


Ideal candidates will also have

  • Executive secretarial experience or experience providing administrative support in a fast-paced political environment
  • Experience in event planning and catering services
  • Experience developing budgets, maintaining expense accounts, and completing purchasing

Temporary: 1-2 months, could be extended

Full-time M-F

Pay rate $19.60+ depending on experience
