Client Project Assistant

Work with a great consulting company that provides business consulting services to rural independent telecommunications providers and their affiliates.  Medical, dental,  401K and profit share offered.

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following:

Coordinating all necessary assignments relating to client needs or meetings for the purpose of ensuring client needs are met. Tasks may include anticipating needs, completing assignments, preparing materials for client meetings, coordinating client meetings, including client meeting timeline checklist, location, agenda, meals, travel arrangements, client gifts, client dinners, sending and receiving emails, sending and receiving calls, preparing flyers, maintaining mailing and contact lists by event and state, etc.  Monitored by the Client Project Coordinator through meetings, observations, and consideration of feedback from customers.

Coordinates convention and Conferences related activities for the purpose of ensuring client and employee activities are arranged properly leading to a successful convention.  Tasks may include assessing and recommending locations, drafting and distributing agendas, arranging meals, making travel arrangements, acquiring client gifts, arranging client dinners, coordinating the booth and promotional materials, handling registration, preparing travel packets, etc.  Monitored by the Client Project Coordinator through meetings, observations, and consideration of feedback from Directors and other staff.

Performs administrative functions for the purpose of ensuring all related and relevant Administrative Department tasks are completed in a timely and effective manner.  Tasks may include completing timesheets, sending and receiving emails, providing detailed project reporting in regular administrative team meetings, making phone calls, and organizing the workload. Monitored by the Client Project Coordinator through periodic meetings, review of work documents, and consideration of feedback from other staff.

(Continually looks for new and improved ways of completing the above functions.  Other tasks as assigned by supervisor will be performed in order to address unexpected situations or needs that may arise.)

Minimum Qualifications (Knowledge, Skills and Abilities)

  • 1-3 years meeting planning (preferred)
  • 3-5 years administrative position (preferred)
  • Strong working knowledge of Microsoft suite to include Power Point

  • Daily phone, email, and face-to-face interaction with employees within the department to complete work tasks. 
  • Daily email and weekly face-to-face interaction with other employees throughout the organization to complete work tasks. 
  • Monthly phone and face-to-face interaction with customers to obtain and provide information.

Physical Demands and Work Environment

  • Occasional bending, carrying, squatting, twisting, turning, and lifting up to 25 lbs. independently, required.
  • Frequent demonstration of manual dexterity and visualizing of a computer screen, required.
  • Office environment.

Travel upon being hired direct for conferences (optional)

Contract to Direct

Schedule: Monday- Friday 8 AM- 5 PM, Occasional evening and weekend work may be required as job duties demand.

Pay: $15- $17 depending on experience
